Senior Property Manager

Forum is seeking a highly organized and experienced Senior Property Manager to oversee the management of a portfolio of commercial properties and lands in Western Canada, at various stages in the development cycle. The ideal candidate will have a strong background in managing daily property operations, tenant relations, maintenance coordination, as well as budgeting and management reporting. The Senior Property Manager, based in Edmonton, plays a crucial role in ensuring the smooth day-to-day functioning of our properties and contributing to overall tenant satisfaction.

 

TASKS

Property Operations

  • Manage day-to-day operations of commercial properties and lands, including maintenance, repairs, as well as capital projects and improvements.
  • Provide direction to and coordinate with maintenance staff, contractors, and vendors to ensure prompt resolution of issues and maintenance requests.
  • Obtain supplier and contractor quotes and negotiate contracts.
  • Review vendor performance and ensure quality services are delivered.
  • Conduct regular site visits to identify potential maintenance needs and safety concerns.
  • Implement preventive maintenance programs to extend the lifespan of assets and reduce operational costs.
  • After hours availability, on a rotating basis, for site and tenant emergencies, coordinate services required to mitigate injury and damage.
  • Manage the property handover process upon completion of new developments, transitioning assets from construction to operations in close collaboration with construction and easing teams.
  • Manage the tenant turnover process, coordinating with leasing and construction teams to ensure smooth transitions as tenants vacate and new occupants take possession.
  • Ensure compliance with local regulations, building codes, and safety standards.

 

Tenant Relations

  • Serve as the primary point of contact for tenants, addressing their concerns, inquiries, and requests in a timely and professional manner.
  • Collaborate with property accounting to prepare tenant lease summaries.
  • Review and approve documents and correspondence, including but not limited to tenant files, contact lists, and welcome packages to new tenants.
  • Review and approve for distribution, tenant notices and general correspondence.
  • Receive Deferred Rent, Rent Relief and Assignment requests; prepare commentary and recommendation for management.

 

Financial Management

  • Prepare and manage property budgets, monitoring expenses,and ensuring financial objectives are met.
  • Collaborate with accounting to prepare and review year end CAM reconciliations.
  • Oversee preparation of purchase orders and approve property invoices.
  • Responsible for rent collection, lease enforcement, and timely invoicing of tenants.
  • Collaborate with accounting personnel to ensure accurate record-keeping for both property and tenant records.
  • Prepare quarterly management reports, including revenue and expense variance analysis.
  • Prepare mid-year reforecast reports for all properties, analyzing CAM rates to assist in budget preparation and cost management.
  • Manage property tax accounts and internal documentation related to appeals and reporting requirements to municipalities.
  • Review tenant sales reports and provide commentary to management.

 

WHAT WE ARE LOOKING FOR

  • Post secondary certification in business administration, real estate management, or a related field (preferred).
  • Valid class 5 driver’s license; position includes travel to sites within Alberta.
  • 7+ years of proven experience in a Senior Property Manager role required; experience with retail properties is considered an asset.
  • In-depth knowledge of property management principles, leasing practices, and landlord-tenant laws.
  • Strong organizational skills, with the ability to prioritize effectively.
  • Ability to adapt and thrive in an entrepreneurial environment, collaborating with colleagues to develop solutions to issues arising from both internal and external factors within a growing real estate portfolio
  • Excellent communication and interpersonal skills, with the ability to build and maintain relationships with tenants, vendors, and team members.
  • Proficient in property management software, experience with Spectra considered an asset.
  • Detail-oriented with exceptional problem-solving and decision-making abilities.
  • Familiarity with local building codes, safety regulations, and industry best practices.
